The Contacted page can grow long fast. The search box, filters, and sort options turn it from a wall of names into a focused work list.
Search
The search box sits just above the list. Type a client's name or email and the list narrows live as you type - no need to scroll or page through. Matching is case-insensitive and works on partial text, so "smi" finds Smith and "gmail" finds everyone on a Gmail address.
Search stacks with everything else: it narrows within whatever stage tab and type filter you already have selected. Clear the box (or hit the X) to bring the full list back.
Reach for search when you know exactly who you're looking for. Reach for the tabs and filters below when you're working a whole segment.
Stage Tabs
The tabs across the top filter by stage:
- All - everyone on Contacted (archived clients excluded - see Type Filter below).
- No Reply - sent, awaiting reply.
- Interested - replied positive.
- Not Interested - replied negative.
- Inactive - bounced or unsubscribed.
Tab counts show how many clients are in each stage. Click any tab to filter.
A client whose outreach was saved as a draft in your inbox, rather than sent automatically, carries the status Draft in Inbox. Treat it as a reminder that the message still needs to go out from your own mail app.
Type Filter
Separate from stage, there's a type filter that lets you narrow to refinance, renewal, or archived contacts only. Useful if you only want to work one channel today.
Archived clients (for example, a mortgage that had already passed its maturity date when the book was imported) are excluded from the default Contacted list and from every stage tab, the same way they're excluded from the Refinance and Renewal lists. Select Archived to see them - the stage tab counts adjust to reflect only that group while it's selected.
Sort Options
Default sort is Last Contacted descending (most recent activity first). You can sort by:
- Last Contacted - chronological work.
- Name - alphabetical.
- Stage - group by stage.
Click any column header to sort.
Selecting Multiple Clients
Every row has a checkbox, and the checkbox in the table header opens a small menu with two choices: Select this page, which ticks just the rows in front of you, and Select all, which selects every client matching your current filters - all pages, not just the one you're looking at. So you can filter the list down, choose Select all, and act on the whole filtered set at once. Choosing the checked option again clears the selection, and you can untick individual rows to leave specific clients out. (On the Scheduled tab the whole list is already on one page, so only Select this page shows.)
Clients you tick by hand also stay selected as you move between pages, which is handy for building a list across a few pages. Either way the count in the bar can be higher than what's on screen, so check the count before acting. Clear drops the whole selection.

Work today's hottest leads:
- Tab to Interested.
- Sort by Last Contacted desc.
- Reply to the freshest replies first.
Re-engage stalled refinance candidates:
- Tab to No Reply.
- Filter type to Refinance.
- Sort by Last Contacted asc (oldest first).
- Work the top - these are folks past their day-21 follow-up.
Audit your Not Interested list:
- Tab to Not Interested.
- Sort by Last Contacted desc.
- Quick scan for any misclassifications and override stages where needed.
